It includes all features from all three products, plus exclusive add-ons become available, like Document Assembly, Civil Procedure, IP, and Workers Comp, tailored for specialized legal fields. AIM365 Enterprise is engineered to cater to complex legal practices that require robust, multi-dimensional management tools. It not only enhances organizational efficiency but also significantly boosts the capability to handle diverse legal scenarios, providing a competitive edge in the legal marketplace.

3D Workflow

3D Workflow (abbreviated from Docket Driven Documents) is a seamless, one-step process which uses Case and Document Management to automatically schedule document production deadlines, create and publish the documents, file them, and/or route them to recipients in a single workflow sequence.

By combining the power of CMS and DMS (specifically, docketing, imaging, document assembly, and reporting) into an all-in-one product, users are able to automate and significantly shorten the whole document production process by completely eliminating manual steps. This promotes a more paperless office, and ensures that all document-related tasks are done consistently and accurately.

Incorporating Back Office Functions

The real power of synergy in AIM365 Enterprise is realized when back office functionalities like automatic time recording and billing are realized. This ensures that all system components are aware and responsive to each other’s activities, thus enabling a truly automated workflow. This automation extends the capabilities of the software, allowing firms to handle higher volumes of work with greater precision and less effort.

The Case for All-In-One Network Platforms

All-In-One Architecture

With AIM365 Enterprise, all components—from case management to document handling and billing—are designed to work within an all-in-one architecture. This not only simplifies the learning curve with a single set of commands but also minimizes the need for repetitive data entry and reduces the costs associated with training and system maintenance. As everything operates from one comprehensive system, efficiency and data accuracy are markedly enhanced.

Interactive Dashboards for Enhanced Insight

AIM365 features comprehensive dashboards that provide detailed analyses of timekeeper data and insights into how much time and fees have been entered, billed, collected, or written off. These dashboards extend to cover financial measures from income statements, balance sheets, and cash flow statements, offering a holistic view of a firm’s financial health.

Authorized users can access and review detailed timekeeper and financial information without the need to generate any reports, enhancing the decision-making process. This capability is supported by advanced BI tools like Power Pivot spreadsheets, which further aid in the visualization and manipulation of complex data sets. The dashboards are designed to be interactive and user-friendly, ensuring that all pertinent financial data is easily accessible and actionable.

BI Viewer

The BI Viewer in AIM365 Enterprise offers powerful tools for analyzing your firm’s data. Users can choose any entity of study to examine any key performance indicators (KPIs), such as fees worked and AR value, broken down by year and variances.

Key features of the BI Viewer include:

  • Visualizer: Provides an overview of trends for selected KPIs, enabling quick identification of performance patterns.
  • Drill-Down Analysis: Allows detailed examination of specific entities, presenting data in a new tab for focused analysis while keeping the trends panel accessible.
  • Top Five Visualization: Compares the top five entities in a clear, visual format, facilitating performance comparison.
  • Comparatives Panel: Enables performance comparison across different KPIs for selected values, enhancing comprehensive data analysis.

What really sets the BI Viewer apart from anything else on the market is the powerful ability to Export to Excel, which allows users to combine entities, KPIs, and chart types to find and display their data analysis and insights and export the results to Excel. Once the data is exported users can make and use their own custom KPI calculations and chart them using Excel.

The BI Viewer relies on PerfectLaw’s proprietary BI Database model and server, compiling law firm billing and accounting transactions from the last three years into an OLAP database. This optimized, multi-dimensional storage ensures fast, interactive processing, handling millions of transactions efficiently.

What is an OLAP database?

What is an OLAP database?

An OLAP (Online Analytical Processing) database is a type of database designed to quickly answer complex queries by organizing large amounts of data into a multi-dimensional structure, making it easier to analyze and find insights. An OLAP database provides quicker insights and decision-making compared to traditional databases, which can be slower and less flexible for in-depth analysis.

Seamless Document Creation

AIM365 offers a powerful and user-friendly Document Assembly feature that streamlines the creation and management of your firm’s documents. Leveraging the mail merge capabilities of Microsoft Word, AIM365 automates the generation of documents by merging form templates with data already stored in your all-in-one matter database. This automation simplifies and enhances correspondence and communication with clients, courts, and government agencies, eliminating the need for manual document creation.

Browser-Based Flexibility

One of the key advantages of AIM365 Document Assembly is its seamless integration with the existing AIM document assembly workflow, now enhanced for a browser-based environment. This allows users to access and use the feature anytime, anywhere with internet access. Additionally, the AIM365 Portal enables secure document assembly for clients and other stakeholders.

Advanced Formatting and Integration

AIM365 takes full advantage of Microsoft Word’s formatting features, allowing users to add tables, styling, color, and graphics to their mail merge documents. The system works within Microsoft Office and can link your main document to lists in Excel or other data sources, providing a high level of customization and flexibility.

Streamlined Process

The process is straightforward: users simply select the form or document template, fill in any necessary stop codes, and the system automatically profiles the finished document. AIM365 ensures that document generation is accurate and consistent, avoiding the need for repeated data entry and manual intervention.

Efficiency and Accuracy

By automating document assembly, AIM365 significantly improves efficiency and reduces errors. Users can quickly and easily merge matter information into Microsoft Word forms, which are then automatically profiled into the appropriate matter folders. This not only saves time but also ensures that all documents are correctly tagged and organized.

Time and Fee Dashboards

PerfectLaw dashboards are interactive and provide analysis of timekeeper data and insight into how much time (or how many fees) has been entered, billed, collected, or written off for a timeframe for clients, matters, and other areas (along with details). Users who have been granted permission may access and review other timekeeper information without the need to run reports.

Reports

By selecting the reports icon, users can see real-time billing and receipt information for one or more selected matters. This includes AR balances, upcoming WIP, bill summaries, trust balances, and much more. Users can also access the details of any information being displayed by entering the reports subsection titled “BizRadar Reports.”

Biz Radar Reports

AIM365 users can display advanced reports and interactive dashboards quickly and easily. There’s no need to contact your accounting department or wait to have them retrieve the information you want to see.

PerfectLaw’s Power BI interactive dashboards, powered by Microsoft, coupled with AIM365’s Report Wizards, help firm administrators analyze their database for better reporting and better decision making. These reports can be published for partners, staff, and clients as PDFs or interactive webpages and then distributed via email or hosted on a private website.

Administrators also have DataBrowser distribution tools to decide and control which users get what reports.

Master Files

To set up and use AIM, you have to be able to open client matters. In order to open the client/matters, you need to have the Master Files set up.

New Matter Intake

The new matter intake workflow by PerfectLaw, almost entirely automated, begins with users selecting a template suitable for their new case or matter. This initial step is streamlined by AIM365’s template cloning feature, eliminating the need to set up each matter manually. After template selection, AIM365 clones the chosen template, rapidly replicating all predefined settings like default timekeepers and billing formats, reducing what was once minutes of manual effort to mere seconds.

Once the new matter is saved, the “New Matter Intake Macro” in AIM365 automatically inserts appointments and deadlines into all relevant calendars, ensuring that every team member is promptly updated without manual scheduling. The system also automates client communications, handling tasks such as sending thank-you emails, distributing retainer agreements, and providing clients with detailed work plans and roadmaps.

Furthermore, AIM365 automates conflict searches by swiftly scanning the database for potential conflicts of interest, ensuring compliance and reducing risk. Lastly, the workflow automates billing processes by capturing and posting billable time automatically, eliminating manual entry and reducing billing errors, allowing users to focus on their work with confidence that all billable activities are efficiently tracked.
